Moving from Tradify to TradeSender

Export what Tradify lets you export, import your customers in one check-first step, set the rounds up again, and cancel Tradify when the last invoice is paid. About an hour for a typical round.

What moves and what does not

TradeSender imports customers and their properties, and nothing else. Everything on the Tradify side is what Tradify's own help pages say it exports.

Tradify’s side is from Exporting or deleting your data from Tradify and the pages it links, read on 20 October 2026. Tradify’s screens may have changed since; its pages are the ones to trust.

Step 1

Export from Tradify

On the Tradify website, not the app. Do this before you cancel: Tradify says deleting data is permanent.

Customers

Tradify’s page How To Export Customers gives four steps:

  1. Navigate to the Customers page.
  2. Select Options.
  3. Select Export Customers to File.
  4. Then click Download.

The same page says customer notes are not included: the export covers names, contact details, addresses and custom fields. Tradify’s data page also lists an export for customer sites. If some customers have more than one garden, export the sites too, so that each garden has an address in a file.

Jobs, quotes and invoices, for your records

TradeSender does not import these, but you will want them for your accounts. How To Export Jobs says: head to the Jobs page, filter or search for the jobs you want, select the ones to export or select all on the page, then select Options in the top right corner and Export Jobs to File. It adds that the export covers job details only, and job notes and files such as photos and attachments are not included. How to Export Invoices says: navigate to the Invoices page, select the invoice tab you want to export from (approved, overdue and so on), tick the invoices you want to export to CSV, and select the export icon, an arrow pointing into a box. It adds that the export includes the customer, dates, line items, totals and the amounts paid and due, but not how or when an invoice was paid. Tradify’s data page lists quotes, enquiries and timesheets as well.

Recurring jobs and appointments

Tradify’s data page says recurring jobs cannot be exported: the jobs export has the individual jobs Tradify created, not the recurring job templates, which you can read under Jobs, Recurring Jobs. It lists no export for appointments. So before you leave, open Recurring Jobs and write down each round: the customer, the garden, how often, the usual day, the price and what each visit covers. That list is what you set up in step 3.

Step 2

Import your customers into TradeSender

On the web, as an owner or office member. Nothing is saved until you have seen what the file will do, and nobody in it is emailed.

  1. Open Settings, then Import and export. (Before you have any customers, Import a file on the Customers page opens the same screen.)
  2. Choose Choose a CSV file and pick the customers file Tradify gave you, as it is.
  3. TradeSender shows a table of its own fields with the column of your file each one will read, and an example from the file beside it. Match any that are wrong. A field with no column reads Not in this file. Not imported under the table lists the columns nothing uses.
  4. Choose Check the file. The check runs the whole import and takes it back, then counts the rows: New, Already in your workspace, Check these and Skipped, each with its row numbers and reasons.
  5. Choose the button, which counts the new customers, such as Import 42 customers. TradeSender says what it did and See them in Customers opens the list.
  6. If you exported customer sites too, import that file next. A row whose customer is already in your workspace adds the address as a property and creates nobody twice.

TradeSender matches Jobber’s column headings by itself. For a Tradify file you match them on the table, which takes a minute: name, email, phone, the address lines and the postcode. We have not run a Tradify file through the import ourselves, so look down the examples before you choose Check the file. The import guide has every message the screen can show and what to do about each.

Step 3

Set the rounds up again

One repeating job for each round, from the list you wrote down. The visits then fill the calendar.

  1. From Today, start a new job. Choose the customer and the property, give it a title, and add the pricing as the price of one visit.
  2. Set the first visit under When. Its day and time are the pattern for the rest.
  3. Tick Repeats. In Every and Days, weeks or months, say how often: every 1 week, every 2 weeks or every 4 weeks.
  4. In Ends, choose Never, On a date or After a number of visits. For a round that stops for the winter, tick Only part of the year and choose the months.
  5. Check Bill. Ticking Repeats sets it to After each visit, so you invoice finished visits whenever you like. For a round you invoice once a month, choose At month end.
  6. Choose Save job.

Repeating visits are on Pro and Business (£19 a month for up to five people). Gate codes and where the key is go in each property’s access notes. The docs on repeating jobs and rounds cover skipping a visit, moving a rained-off day and changing a round without starting again.

Step 4

Payments, and the last Tradify invoices

Invoices you have already sent from Tradify are paid in Tradify. New ones come from TradeSender.

Keep Tradify until the last invoice is paid

TradeSender imports no invoices, so an invoice a customer still owes you stays in Tradify until it is paid. Most people run the two side by side for one billing cycle: old invoices chased in Tradify, every new visit invoiced from TradeSender.

Connect Stripe, then offer Direct Debit

In Settings, Getting paid, choose Stripe and then Connect Stripe. Customers can then pay an invoice by card from its email. On Pro and Business, switch on Bacs Direct Debit in your Stripe account and each customer can agree a Direct Debit once in their portal, after which every invoice is collected on its due date. See collect by Direct Debit.

Step 5

Cancel Tradify

Only once your exports are safe and the last invoice is paid.

Tradify’s page Cancelling your Tradify Subscription has the steps. Its data page says that deleting data in Tradify is permanent and cannot be undone, and recommends exporting first, so keep the CSV files somewhere you will find them at tax time.

Questions

Can you do the import for me?
Yes. Reply to the first email we send you with the files Tradify gave you, and we load them into your workspace within a working day and show you what we found before anything is saved. Or email support@tradesender.co.uk.
What if a customer is in the file twice?
The check matches rows on email address, then phone number, then name, and lists anything doubtful under Check these. Two rows for one person make one customer with two properties. A row that matches a customer you already have creates nobody.
Will my customers be emailed?
No. An import emails nobody. A customer first hears from you when you send them a quote, an invoice or a visit reminder, and that email signs them in to their portal with no password.
What does it cost?
Importing is on every plan, including Free. Repeating rounds, automatic emails and Direct Debit need Pro at £19 a month for up to five people, with no VAT to add. See Tradify, Jobber and TradeSender side by side.
