Plans and limits

What the Free, Pro and Business plans each allow, what happens when you reach a limit, and where to see the plan your workspace is on.

A workspace is on one of three plans: Free, Pro or Business. The plan belongs to the workspace, so everyone in it shares the same limits. Owners and office members can see the plan. Only an owner can change it.

What each plan allows

Prices are in pounds a month. £19 and £49 are the full price: no VAT is added.

These five are the only difference between the plans. Everything else in TradeSender works the same on all of them, including the customer portal, the website enquiry form, connecting an AI assistant, sending from your own mailbox, API keys, month-end invoicing, importing customers, the map of the day, taking card payments online, deposits, On my way emails and moving a rained-off day.

How each limit is counted

  • Team members counts active members, including you and anyone you have invited who has not joined yet. Deactivated members are not counted.
  • Visits a month counts the visits booked in a calendar month, by your workspace's time zone. A visit counts in the month you book it, whenever it takes place. Quote visits count, and so does a visit you later cancel. Visits that a repeating job books for you do not count, so a round that was set up on Pro carries on without using up the 30.
  • Repeating visits are the visits a repeating job books for you. See Repeating jobs and rounds.
  • Automatic emails are the reminders TradeSender sends by itself: for overdue invoices, for quotes with no answer and for the next day's visits. See Automatic emails.
  • Collecting by Direct Debit is TradeSender taking an invoice's money from a customer's bank, by the Direct Debit they agreed. It goes with automatic emails: a plan has both or neither. Taking card payments online is on every plan. See Collect by Direct Debit.

Your first 30 days

A new workspace has Pro for its first 30 days, with nothing to pay and no card: repeating jobs, automatic emails, collecting by Direct Debit and up to five team members from the start. Plan and billing shows Pro plan with Trial beside it, and one line under it such as "Pro trial: 25 days left. Subscribe below to keep Pro after 18 Nov."

The 30 days count from the day you created the workspace, and the trial ends at midnight at the end of the last day, in your workspace's time zone. From then the workspace is on Free: nothing you have made is removed, and the repeating jobs you set up carry on. If your plan goes down says exactly what changes.

To keep Pro, choose Subscribe to Pro under Subscribe at any time: see Subscribe, change or cancel. You pay from the day you subscribe, and the trial line goes.

TradeSender emails the owner twice about the trial. Both go to the address you signed up with, and replying reaches a person.

Each says what changes on Free and how to keep Pro, and asks for nothing else. They are separate from the emails in your first week, and the link that stops those does not stop these two, because they tell you your plan is changing.

See your plan

Open the menu under your name, choose Settings, then Plan and billing.

Settings, Plan and billing for a paying workspace: Pro plan, 5 team members, unlimited visits, repeating visits, automatic emails, renews 16 Oct, with a Manage subscription button.

Current plan names the plan and what it allows, such as "5 team members · unlimited visits · repeating visits · automatic emails". What sits beside it depends on where you stand:

You seeIt means

Nothing to pay yetYou are on a paid plan with no subscription and no trial, which TradeSender arranged

To pay for a plan, change it or cancel, see Subscribe, change or cancel.

The iPhone and Android apps do not show your plan. Open Settings on the web.

When you reach a limit

TradeSender refuses the new thing and tells you why. Nothing you already have is changed.

You try toYou see
Add a team member beyond the limit"Your Free plan includes 1 team member." or "Your Pro plan includes 5 team members."
Book a 31st visit in a month on Free"Your Free plan includes 30 visits a month."
Make a visit repeat on Free"Your Free plan doesn't include repeating visits."
Bring back a deactivated team member when the team is fullThe same message as for a new member

On the web, an owner sees See plans and upgrade under the message. Anyone else sees "Ask the workspace owner to upgrade the plan." On Free, the Repeats tick box is switched off before you get that far, with "Repeating visits aren’t included on the Free plan."

Automatic emails are not refused in that way, because nobody asks for one. On Free the switches in Settings, Emails are greyed out, with "Automatic emails aren’t included on the Free plan." A customer or an invoice set to On sends nothing on Free either, and its Reminders row reads Not on your plan. Send reminder now on an invoice works on every plan, because a person sends it.

Nor is Direct Debit. On Free, with Stripe connected, Settings, Getting paid shows Direct Debit as Off, with "Automatic Direct Debit collection isn’t included on the Free plan.", and your customers are not offered one in their portal.

The phone apps show the same messages without a link.

If your plan goes down

When a subscription ends, or your first 30 days of Pro end, the workspace goes to Free. TradeSender keeps everything that is already there: your team members, your visits and your repeating jobs. The Free limits apply to anything new, so you cannot add a member, start a new repeat or book past 30 visits in a month until you subscribe again. You can still change or stop a repeat that is already running, and the visits it books for you carry on and do not count towards the 30.

Automatic emails stop. Your switches and your notes are kept, and nothing is sent until you subscribe again. They then start counting afresh: see The plan they need.

Collecting by Direct Debit stops too. Your customers keep the Direct Debits they set up, and nothing is taken on them. Their invoices are ordinary unpaid invoices again, to pay online or by bank transfer. See If your workspace goes down to Free.
