Send from Outlook or Microsoft 365
Connect an Outlook or Microsoft 365 mailbox so your quotes and invoices reach customers from your own Microsoft address.
An owner connects the mailbox, on the web or in the iPhone or Android app. This page follows the web. You need the Microsoft account whose address your customers should see. It does not have to be the account you sign in to TradeSender with.
Connect
-
Open Settings, then Emails, and choose Sent from. The Your mailbox sheet opens.

-
Under Connect your mailbox, on the Outlook row, choose Connect Microsoft.
-
Microsoft opens. Sign in to the account you want to send from, or pick it from the list.
-
Microsoft lists what TradeSender is asking for. Accept it.
-
You come back to Settings, Emails, with the sheet open. It reads "Your mailbox is connected.", and Sent from shows your mailbox's address, marked Sending.
You have 10 minutes from choosing Connect Microsoft to finishing at Microsoft.
Sent from shows your mailbox's main address, as Microsoft reports it. That can differ from the address you typed to sign in to Microsoft.
In the iPhone or Android app, tap the account button, then Emails, then the row under Sent from, which reads TradeSender until a mailbox is connected. Connect Microsoft is there.
What Microsoft asks you to allow
TradeSender asks Microsoft for four things:
- To sign you in and read your basic profile. TradeSender reads one thing from it: the address your mailbox sends from.
- Your email address.
- To send mail as you.
- To keep that access. Without it you would have to sign in to Microsoft again for every quote.
What TradeSender can and cannot do
With that permission TradeSender can send an email from your address. It does so only when someone in your workspace emails a quote or an invoice. Microsoft keeps a copy of each one in your Sent Items folder.
It cannot read, search or delete your email, and it never asks Microsoft for your contacts, calendar or files.
TradeSender keeps your mailbox address and a token from Microsoft that lets it send. The token is stored encrypted. TradeSender never sees your Microsoft password.
Work and school accounts
TradeSender is a verified publisher with Microsoft, which lets people with a work or school account accept it. If your organisation's account still will not let you accept, ask whoever manages Microsoft 365 for your organisation, or connect through SMTP.
Check it works
There is no test email. The next time you send a quote or invoice, tick Send me a copy. Your copy shows the address your customer sees.
If it does not connect
| What you see | Why | What to do |
|---|---|---|
| "Couldn’t connect your mailbox. Please try again, or use SMTP." | You cancelled at Microsoft, Microsoft did not give TradeSender lasting access, or you are no longer an owner. | Choose Connect Microsoft again and accept everything it lists. |
| "This took too long. Start again from Settings, Emails." | More than 10 minutes passed at Microsoft. You are still signed in to TradeSender. | Choose Connect Microsoft again. |
| No Connect Microsoft, and "Only the workspace owner can change email sending." | You are not an owner of the workspace. | Ask an owner to connect it. |
If Microsoft stops accepting the connection later, TradeSender disconnects the mailbox and sends from its own address: see If your mailbox stops working.
Disconnect
Open Settings, then Emails, and choose Sent from. The sheet is headed Outlook. Choose Disconnect at its foot.
Quotes and invoices go back to being sent by TradeSender, and TradeSender deletes the token. It cannot cancel the permission at Microsoft for you, so remove that yourself:
- Work or school account. In Microsoft's My Apps portal, open the menu on TradeSender, choose Manage your application, then Revoke Permissions. Microsoft's own steps are in Edit or revoke application permissions in the My Apps portal.
- Personal account. Open the privacy page of your Microsoft account and remove TradeSender from the apps and services you have given access to.
