Notifications on your iPhone

What the iPhone app tells you about, who is told each thing, how to allow notifications or switch them off, and what tapping one opens.

The iPhone app tells you when something needs you: an enquiry has arrived, a customer has answered a quote, you have been booked on a visit, we have answered your question. The web app sends no notifications, and TradeSender sends no text messages.

The Android app sends the same notifications, and Android gives each kind its own switch: see Get the Android app.

Allow them

The app asks once, the first time your workspace opens after you sign in: iOS shows its own question. Choose Allow.

To check, or to change your mind later:

  1. Tap the account button, the person in a circle at the top right. It opens Settings.

  2. Under On this phone, Notifications reads On or Off. Tap it. This iPhone says the same.

  3. Tap Open Settings. It opens the iPhone's own page for TradeSender, where you turn notifications on or off.

There is one switch, and it is the iPhone's. TradeSender has no setting for which notifications you get. Beneath Open Settings the app lists what this phone is told about. An owner or office member reads "This phone is told about visits you’re booked on, visits that move, visits today or tomorrow you’re no longer booked on, and our replies to your questions in Help. It’s also told about new enquiries and work requests, quotes your customers accept or decline, invoices your customers pay online, a refund that fails, a Direct Debit that fails or is cancelled, and, quietly once a day, how many automatic emails were sent. Turn notifications on or off in Settings."

A technician reads "This phone is told about visits you’re booked on, visits that move, visits today or tomorrow you’re no longer booked on, and our replies to your questions in Help. Turn notifications on or off in Settings."

The demo workspace has no Notifications in Settings, and the app does not ask while you are answering the set-up questions.

Who is told what

Owners and office members hear about customers and money. Everyone hears about their own visits, and our replies to what they ask us. Technicians hear about nothing else.

There are five kinds, and the iPhone stacks TradeSender's notifications by kind on the lock screen and in Notification Centre.

A notification is read on a locked phone, by whoever is standing beside it. So it carries a name or a job's title, and never an amount, an email address or a note.

Your visits

WhenWho is toldIt says
You are put on a visitYouYou’ve been booked, with the job, the day and time, and the address
A visit you are on moves to another timeEveryone already on itVisit moved, with the new time
A visit of yours today or tomorrow is cancelled, goes when its job or its round ends, or you are taken off itYouNo longer booked, with the job, the day and time you knew, and the address
Several of your visits are booked, moved or taken away at onceYou, onceYou’ve been booked, Visits moved or No longer booked, with how many, such as "8 visits · Hedge trim · from Tue 13 Oct, 08:15"

Today and tomorrow follow the Time zone in Business details. A visit further off tells nobody when it goes: plans change, and Today shows what stands when the day comes.

Enquiries and quotes

Payments

A Direct Debit comes to nothing: the bank does not pay it or takes it back, or Stripe will not start itOwners and office membersDirect Debit failed, with the customer and the invoice's number
A refund comes back from Stripe, unable to reach the card or bank account, whether it was made from the invoice or in your Stripe dashboardOwners and office membersRefund failed, with the customer and the invoice's number. Your business is emailed too, with the amount: see Refund a payment

Emails sent

WhenWho is toldIt says
TradeSender sends automatic emailsOwners and office members, once a dayEmails sent, with how many of each have gone that day, such as "2 payment reminders · 1 visit reminder". Never to whom

It arrives with the day's first automatic emails. Each later hour that sends more updates the same notification, so your phone holds one for the day. It makes no sound and does not light the screen: you find it in Notification Centre.

Replies to your questions

WhenWho is toldIt says

We email you the answer as well.

What tells nobody

  • What you did yourself. If you book a visit and put yourself on it, you are not told. Nor is whoever moved a day told that it moved, or whoever cancelled a visit told that it went.
  • A quote you mark as accepted with Record acceptance. Only a customer answering on the quote's own page tells anyone.
  • A payment you record by hand. Invoice paid is for a payment made online.
  • A Direct Debit that is collected. The invoice reads Paid.
  • A visit that is already over. Booking or correcting one in the past is a record being put straight.
  • A visit under way that is cancelled, or that you are taken off. You are standing on it.
  • A visit further off than tomorrow that is cancelled, or that you are taken off.

Rounds, jobs and whole days

  • A new repeating job books weeks of visits at once. Each person on it is told once, with how many.
  • Changing a round with This and future visits tells the people who stay on it about the visits at new times, once. Someone newly on it is told they have been booked.
  • Someone you take off a round hears No longer booked for its visit today or tomorrow. So does anyone whose visit today or tomorrow the change removes, as when you make the round end sooner. People already told that the round's visits moved hear nothing more.
  • When you choose Stop repeating, Cancel job or Complete job, the people on a visit it takes away today or tomorrow hear No longer booked.
  • Moving a rained-off day tells each person on the moved visits once, however many of them are theirs.

Tap a notification

Tapping one opens the app on the record it is about:

NotificationOpens
New enquiry, Work requestThe enquiry or the request
Quote accepted, Quote declinedThe quote
Invoice paid, Direct Debit failed, Refund failedThe invoice
Direct Debit cancelledThe customer
Emails sentActivity
Reply to your questionThe question, in Settings, Help
One visit booked or movedThe visit
Several visits on one jobThe job
Several visits across jobsThe app
No longer bookedThe app. The visit may be gone, or no longer yours to see

If the phone does not hold the record yet, the app fetches your workspace first.

Good to know

  • The emails still go. A new enquiry and a customer's answer to a quote are emailed to your business as before. A notification is as well as the email, not in place of it.
  • A newer notification replaces the older one about the same visit, job, quote, invoice, enquiry or customer. No longer booked takes the place of the You’ve been booked you had for that visit.
  • One workspace on one phone. If you belong to two workspaces, the phone is told about the one it is signed in to.
  • Signing out stops them on that phone, and clears the ones still on the lock screen.
  • They need the iPhone app to have been opened with a connection after you signed in. That is when the phone is registered.
  • They are not a record. A phone that is switched off for more than a day can miss one, and nothing lists the notifications you were sent. Needs attention on Today is the list to work from.
  • An AI assistant or an API key that books, moves or cancels a visit tells the crew too.
  • There are no notifications on the web or by text message.
